Terms of Service
Last updated 05 March 2025
1. Who we are
Payroll Allocator is operated by Ledger Automations Limited in Auckland, New Zealand. These Terms apply to anyone who creates an account, connects a Xero organisation, or otherwise uses the product. By signing up you confirm you have authority to bind the business you represent.
2. Using Payroll Allocator
You run payroll in Xero exactly as before. After you authorise our app, we read the pay runs you select, apply the allocation rules you set, and post journals back into Xero on your instruction. You can revoke access at any time from Payroll Allocator or from Xero. Disconnecting removes stored tokens and we delete cached payroll data within 30 days unless the law requires otherwise.
3. Your responsibilities
- Keep login credentials secure and ensure only authorised staff access the product.
- Review allocation previews before posting journals back to Xero.
- Confirm you have consent from clients and employees to process their payroll data.
- Follow all accounting, payroll, and privacy obligations that apply to your organisation.
4. Billing and early access
Early-access pricing is $59 + GST per single Xero organisation, or custom firm pricing for multiple organisations. Fees are billed monthly in advance via Stripe. There is no setup fee while we are in early access. You can cancel any time and billing stops at the end of the current paid period. Charges are non-refundable except where New Zealand law requires a refund.
5. Service commitments
We will take reasonable steps to keep Payroll Allocator available and secure, including encrypting refresh tokens, limiting access to production systems, and providing support through email and chat. The service is provided “as is” and may occasionally be unavailable due to maintenance, Xero outages, or other events outside our control.
6. Liability
To the extent permitted by law, our total liability for any claim is capped at the fees you paid in the previous 12 months. We are not liable for lost profits, indirect or incidental damages, or issues caused by inaccurate data supplied to the product. You remain responsible for reviewing journals before approving them in Xero.
7. Governing law and contact
These Terms are governed by New Zealand law and disputes will be heard in New Zealand courts. If you have questions, please contact us through the support options inside Payroll Allocator and we will respond promptly.
